What You Do

As Madwell’s Office Manager, you embrace an ever-changing workday. You monitor resources and supplies, create and manage office budgets and expenses, and warmly welcome our clients and guests (both in person and on the phone). You keep office momentum up, by being a fixer and a planner, generally helping to keep things running smoothly for a sizable team of multidisciplinary superstars. You’ll report into our Managing Director but work closely with many different folks every day, including collaboration w/ our team in Brooklyn. This role is based in our Denver, Colorado office, but will remain remote until December 2021.

Specific duties:

Office Management 

  • Keep the office running smoothly, flawlessly, happily, funly in an organized manner
  • Oversee first impressions: ensuring high fidelity presentation of Madwell’s office space and conference rooms; ensuring that the front door is monitored at all times 
  • Managing inventory for office, kitchen, cleaning supplies, MadSwag in a highly organized fashion 
  • Placing company orders and tracking deliveries/expenses related to materials, projects, and office supplies 
  • Oversee food & beverage program at Madwell (MMM Brunch, office snacks, pantry items, company events, client meetings)
  • Respond to and take a problem solving approach to employee requests for equipment/supplies 
  • Connect with facilities management for any issues and repairs needed for the building; manage vendor relationships acting as a point of contact for repair and cleaning services
  • Assisting in managing the Tech and IT needs of the physical Denver office. 
  • Key point of contact for all operational vendors including building lease/landlord, IT needs, furniture, office cleaning, utilities, and office improvements. 
  • Madwell Denver marketing is also a key priority, facilitating award show entries throughout the year and proactively posting in our agency owned social channels to ensure our work gets industry attention. 

Administrative/Finance Support

  • Providing general administrative support, including assistance travel arrangements, and workstation setup for new hires
  • Track internal costs for company ordering and events, processing expenses, and containing expenses within allotted budgets.
  • Manage all incoming/outgoing mail/packages communicating with the team to ensure they receive their mail and that they are picking it up in a timely manner

Culture & People Support

  • Working with our Brooklyn-based Director of People & Culture and team to support company events and surprise & delight moments that develop Madwell’s culture, communicating internally as needed.
  • Keep a pulse of the overall feel, tempo and morale across the office by maintaining open and effective communication with Madwellians, fostering and nurturing relationships 
  • Coordinating with managers of new Madwellians for onboarding, training schedules, first meetings, 1:1s and buddies

Our Must-Haves

  • Moderate to severe case of perfectionism and a strong work ethic (you can’t help but go above and beyond)
  • Ability to interface with clients, vendors, job applicants, contract employees, and other visitors with a high degree of professionalism and courtesy 
  • Skills and willingness to manage financial worksheets, including budget tracking, invoicing and expense reports.
  • Self-motivated, hands-on, and participatory with strong results
  • Exceptional customer service skills 
  • Flexible and responsive to changing priorities
  • Able to maintain a high level of professionalism and secure sensitive information
  • Strong relationship-building skills
  • Proven ability to communicate interdepartmentally

  • 2+ years office management experience, ideally in a creative agency setting
